How registration and quarterly payments work

Registration always follows the calendar year (1 January - 31 December), not 12 months from the date of joining. Anyone joining during the year does not get a membership year expiring twelve months later: a new membership year begins for everyone on the following 1 January.

The fee is calculated on a monthly basis (the month of joining always counts in full, remaining days are not prorated), but ordinary payment is organised into four fixed quarters, the same for every member regardless of their join date:

Quarter 1

January · February · March

Quarter 2

April · May · June

Quarter 3

July · August · September

Quarter 4

October · November · December

Practical example

A person joins on 29 August 2026. August falls within Quarter 3 (July-August-September): even though they joined on the 29th, they still pay for the whole of August, plus September to complete the current quarter. From 1 October they move into Quarter 4 as normal, paid in full. On 31 December, the 2026 membership year closes regardless of the day they joined.

Total due: 5 months (August, September, October, November, December) — never a figure calculated on remaining days, and never a membership year expiring "12 months later" than the join date.

The physical membership card

The expiry date printed on the card always corresponds to the end of the paid quarter as recorded in the system — not to the member's personal join date. For example, a member who joined on 29 August 2026 and has paid through Quarter 3 receives a card valid until 30/09/2026 (not 29/08/2027). If they also pay Quarter 4, the updated card shows validity until 31/12/2026. On expiry, the member can independently request the updated card through the portal.

Why this system: all members share the same renewal calendar (manageable in a single campaign at the start of the year), fees collected match the Association's financial year and budget, and no one pays for unused days or gets discounts tied to their exact join date.
